How to Improve your Patient Experience (8 Step Checklist) It's easy to get carried away into perfecting your skill and delivering amazing patient results, especially when you're passionate about what you do; but what about the other interactions that patients have with your brand? What is their patient experience like? And could it use some improvement on your end? Here's an 8 step checklist on how to improve your patient experience so that current and future patients will want to keep coming back to you later on. But first... grab our free episode downloads here: https://www.patientgrowthaccelerator.com/downloads Easy & Accessible Online Appointment Scheduling Just take a look at these statistics from WP booking plugins. 42% of patients prefer to book appointments online. 77% of patients think that having the ability to book, cancel, or change appointments online are important. 64% of patients are seen to use self-scheduling in the coming years Automated Appointment Confirmations and Reminders Once a patient books an appointment send them a confirmation email that includes the date, time, location of the appointment and any additional information that they'll need to prepare for it. Before their appointment consider sending them an appointment reminder email or text, giving them enough time to prepare for it and to arrive on time. This will help improve your patient experience and show your customers how efficient you are. Patient Paperwork Should be Accessible Online Just think how much more patients you could see each day if you provided your patients with an online link to complete all required paperwork online. All of this information will have to be entered digitally at some point anyway, so why not have your patients complete the form remotely so that it can be digitally stored in your customer relationship management system. Politely Respond to Patient Queries ASAP This means responding to social media leads, emails, website inquires and answering phones promptly with enthusiasm, introducing yourself to patients, and being helpful and willing to answer all of their questions. Share Helpful Content on Social Media and your Website Social media is the perfect way to connect with your new and existing patients online. As online users continue to turn to social media to learn more about brands and what they have to offer, it is important that you consistently show up online with valuable content. Patient testimonials, before and after progress photos and screenshots of patient reviews are a great way to promote brand credibility on social media and your website. I’d also highly recommend checking out this video for more free tips on sharing helpful content on social media. Send Emails to Keep your Patients Engaged Online If your goal is to improve your patient experience then definitely consider sending engaging emails to your audience at least once per month. This video covers everything you need to know about sending emails that your customers will want to open and engage with. Send Patient Surveys for Feedback Surveys can be crafted based on the questions that you'd like to get feedback on from your patients, here are an example of a few questions that you can ask: How did you find the experience of booking appointments? Were our staff empathetic to your needs? How long did you have to wait until the doctor attends to you? How easy is it to navigate our facility? How happy are you with the doctor’s treatment? How satisfied are you with the results? How likely are you to recommend us to your friends and family? How much do you rate us? (5 being the highest rating)   Internally Review your Patient Reviews Take some time to review what your patients are saying about their experience at your practice by reviewing their reviews on Google, Facebook, Yelp etc. If a patient truly has a great experience, they will want to share it with others, and the same is true for negative patient experiences. How to Write Captivating Instagram Captions Instagram has confirmed that comments and captions are super important when it comes to feed ranking so it's a great idea to start crafting more captivating instagram captions to boost your ranking on the platform. At the core of every instagram caption (done well) you'll find a story, a conversational tone and a purpose; not to state the obvious here, but it also needs to be 100% related to the image, video or audio content associated with the post. 1. Instagram Captions should have a Purpose 2. Write Conversational Instagram Captions 3. Your Instagram Caption should tell a story 4. Use Emojis and Blank Spaces   5. Write Captivating Caption Copy   Instagram captions are like valuable real estate on the platform and it’s super important that you use it well to fuel your Instagram marketing efforts. Free Medical Branding Masterclass   Here are the 5 Lessons we learned when building our first brand: Align Your Personal and Professional Brands Narrow your customer focus Always use strong branded visuals Make sure your message is simple, clear and consistent Don’t assume your new brand will take off rapidly   Align Your Personal and Professional Brands It’s so important that whatever values or content that you share for your professional brand is consistent with the overall message of your personal brand. Every post is an extension of your brand and your brand is an extension of who you are and what my clients can expect of you. Align Your Personal and Professional Brands to be consistent in their message and to demonstrate the ideal image of your brand that your customers want to see. Their trust is the most valuable part of your business.  It might feel a bit intimidating when you think about bringing your personal and professional brand together. And for some of you it may feel a little weird making them similar in that sense. But it allows your audience to connect with you more. Plus, if you have already made the bold decision to start your own business, you have already decided to put yourself in the spotlight… so it’s a little late to avoid it now. And I guarantee that your clients, prospects or employees will look you up ..which is why you want to make sure that everything checks out.  Now we don’t recommend creating a false personal image of yourself, because you should definitely keep your brand authentic. But just make sure both your personal and professional brand are aligned with a consistent message. Narrow your customer focus Literally every successful business is niche specific. “Specificity breeds success” and it actually works guys! It’s important to speak to exactly the type of audience you’re wanting to market to.  Key takeaway: It doesn’t do your brand a lot of good if you don’t know who your brand should be marketed to. Determine who your target audience is early on and then make a dedicated effort to research and understand them. Essentially: Build your brand around the needs of your target niche.    You want your potential clients to feel that they NEED your services, and your branding and marketing should be really specific to that. This is such value, value we wish we knew when we started our first brand. And we hope these lessons learned will help you as well. Always use strong branded visuals Everything from graphics to photos and videos of your brand, should all be consistent. You definitely want to leave a lasting impression and strong branded visuals will definitely help you excel in that arena. Make sure your message is simple, clear and consistent For instance, if your social media platforms are inconsistent with the content on your website that can be very misleading for your audience. Earlier in this episode we recommended that you focus on a target customer group. For instance, If you have recently decided to create meals for vegans but your brochures still have photos dedicated to meat lovers then i’m sure you see how that can be a problem. Another thing you want to avoid with this lesson are the chunky hard to read paragraphs that make people just want to close the tab. I’d recommend using 2-4 sentences max per paragraph and try not to use fancy jargon that your target audience does not understand. Keep it short, simple and proof read it before finalizing your content. Once you're done, publish it consistently everywhere. And by Making sure your message is simple, clear and consistent...we don’t always just mean text. This can be literally everything- from overly complex visuals or videos that are hard to follow or understand to brand logos that don’t make sense. For better or worse, these are things that people will use to form an opinion of you or your brand. Don’t assume your new brand will take off rapidly For the love of your own SANTIY,  do not put yourself through the anxiety of having unrealistic expectations for yourself and your brand.  Because I think it IS safe to say that most of us are victims of assuming our brand will go viral post launch and unfortunately, that’s not how it actually works. We really wish it were that simple though. It’s important to understand that it takes time and accept that you have to be dedicated and patient for this to really work. I truly believe that if you learn from these lessons and strategically work towards applying the brand development techniques learned in this podcast, you will create a memorable brand that people will be able to close their eyes and envision when they hear the name of your business. Then we definitely need to be applying content marketing to our strategies and tactics as well. For anyone who isn’t familiar with the term ‘content marketing’. It’s the most cost effective, inbound marketing strategy that can help your business attract quality leads by consistently educating your target customers about your products or services while building awareness of your brand. ​ So how do we do this?   By consistently showing up online and by providing useful, and valuable content to your target audience. ​ Start with a content strategy  ​ Did you know that 63% of businesses do not have a documented content marketing strategy? Which means that they are probably spending a TON of time creating content that does not provide value to their customer. And as a result they are not getting the desired return on their marketing investment or the time spent creating their content. That can be really frustrating, and we don’t want to waste valuable time creating content that does not help your business grow.   By creating a content marketing strategy, you’ll have a clear understanding of what content to create, you’ll understand why you should create it and get a crystal clear understanding on who you're creating it for.  ​ So if you’d like to dig a bit deeper into ‘how you can create a content strategy’ definitely download our free content marketing guide.   You’ll find a mini step by step list that will help you complete each of these key points in detail.  ​ ​ Decide on a marketing platform for content distribution   I know you want to get carried away and publish your brand absolutely everywhere. But instead, I want you to choose an online marketing platform that speaks directly to your target customer and consistently publish to it every single week!  ​ For instance, if your target customer lives on Instagram or pinterest then focus on those two platforms for content distribution. ​ Now I know that sounds like a ton of work but I guarantee that it will help improve your marketing results and increase your return on investment.   Side note: If that didn’t convince you enough, visit Visual Vybz Studios online, where we’ll do everything for you!  ​ Once you have that nailed down you can then move on to researching the best content mediums to help you communicate your message.  ​ Choose a Content marketing medium that works! ​ There are so many different mediums to choose from! I will warn you. ​ This is another step where you can easily get carried away. ​ I challenge you to choose no more than 3 mediums to focus on. And then I want you to spend 60% of your time creating content so valuable that your target customer wants to keep following your brand for more. Now if you’re wondering what to do with the other 40%, stick around for the final step. ​ A recent study shows that 58% of consumers prefer visual content with their main preference being video. I’ll link to the case study in the notes below. But I would highly recommend that you make video content an essential medium in your content marketing strategy. Why? Because it’s the most impactful visual marketing medium available and it can work wonders for communicating your brand’s story. ​ So I'll share a few content marketing mediums with you, but remember to only select and perfect 3 of them. I also want you to think about ways that you can repurpose the same content across all 3 mediums so that you’re not constantly creating new content per medium.   Because that… would be dreadful. And I really want you to spend the majority of your time creating valuable content. ​ Create Valuable Content ​ You wanna spend about 60% of your time creating valuable content that your target customer wants. Create content so good that it leaves your audience wanting more!  ​ But don’t give it all away! Hold on to your good stuff because you still need them to become paying customers.   By creating content that your audience cares about, you’re teaching them about your products and services and generating awareness of your brand. It’s important that you have a clear understanding of what goes into running promotion based ads before directing an expert to do it for you.  ​ And then lastly, I want you to monitor the performance of your ads and improve or enhance your content marketing strategy for next time. ​Episode Overview: “How to use Videos to Captivate your Social Media Followers”  Here are 5 Cinematic Storytelling Techniques that are guaranteed to keep your audience engaged with you on social media. Episode #2 Overview: “How to use Videos to Captivate your Social Media Followers” 1. Follow the Framework 2. Instantly Captivate 3. Pose a Problem 4. Provide a Memorable Solution 5. Leverage Curiosity Follow the Framework - Consider the cinematic storytelling arc, but first define your target audience and qualify them as an ideal candidate within your story. An easy way to do this is to ask specific questions to them directly. Here's the standard Cinematic Storytelling framework. Act one introduces the hero, act two introduces the conflict and act three resolves it. For the sake of video marketing, approach each of these acts with [3] simple questions: 1. Act 1: the beginning - Ask yourself who is my audience? 2. Act 2: the middle - Ask yourself what do they need? 3. Act 3: the end - Ask yourself how can I help them? Instantly Captivate - Create your 'inciting incident' - The trick is to make it short but as compelling as a movie trailer, you can do this by teasing the solution or foreshadowing what is to come if they opt in. Demonstrate your problem in a way that makes your audience stick with you until the end to arrive your valuable solution. Pose a Problem - The best way to captivate your audience is to make the story about them, try including them within your narrative. Think about what problem you're actually solving for your audience and determine the most engaging ways to demonstrate that in your marketing. (Speak to them in a way that they understand) Provide a Memorable Solution - Challenge yourself to seamlessly transition from problem to solution. You got this, don't worry. Make your solution memorable, this is easily the 'climax' of your entire story arc. Get super creative and feel free to emphasize your best selling propositions here. We wouldn't try to squeeze them all in there, but try to focus in on your BEST selling point. Leverage Curiosity - This is the part where you want to leave your audience craving more information. Hopefully you've done a pretty good job at captivating them so far and now they are ready to take the next step.
